Ludlow Windows & Doors Ltd ("we", "us") is the data controller for any personal information you give us through this website, by phone, by email or at a survey. We comply with the UK GDPR and the Data Protection Act 2018.
1. What we collect
- Your name, phone number, email address and postcode submitted via the contact form.
- Survey notes - measurements, photographs of the openings, access details - taken at your property with your consent.
- Standard server logs (IP address, browser, referring page) collected automatically when you visit this site.
2. Why we collect it
- To contact you about your enquiry and arrange a survey.
- To prepare a written quotation and, if you instruct us, fulfil the contract.
- To register your installation with the relevant insurance-backed guarantee provider.
- To comply with our legal obligations (HMRC, building control where applicable).
3. Lawful basis
We rely on legitimate interest to respond to enquiries, contract to deliver the work you've instructed us to do, and legal obligation for retention of invoices and warranty paperwork.
4. Who we share it with
- Our fitting team and trusted sub-contractors (e.g. scaffolding) where required for your job.
- Our frame and glass suppliers, to order the correct units for your home.
- Our insurance-backed guarantee provider, to register the warranty in your name.
- HMRC and our accountants, for tax and compliance purposes.
We never sell your data, and we never share it with marketing companies.
5. How long we keep it
Enquiry records are kept for 24 months from your last contact. Records relating to completed work, invoices and guarantees are kept for the statutory period (currently 6 years from the end of the financial year of the transaction, or the length of the guarantee where longer).
6. Your rights
You have the right to request a copy of the personal data we hold about you, to correct anything inaccurate, to ask us to delete data we no longer need to keep, and to complain to the Information Commissioner's Office at ico.org.uk.
7. Cookies
This site uses only essential cookies required for the site to function. We do not use third-party advertising or tracking cookies.
